How Teammade.ai handles your data: what we collect, why, and your rights under GDPR.

Who we are

This privacy policy applies to teammade.ai, operated by Team Made (Dennis Matthijs), Maïsstraat 78, 9000 Ghent, Belgium, enterprise number BE 0718.589.559. We are the data controller for the personal data described below.

What we collect and why

Contact and lead forms: when you send a message, book a demo or sign up for a service, we collect the data you enter (name, email, phone, message and, where relevant, your company or industry) to respond to your request and, if you become a customer, to deliver the service.

Account and platform data: if you subscribe to the platform, we (and our platform provider) process the data needed to run your CRM, conversations, calendar and automations on your behalf. That data belongs to you; we act as a processor for it, not an owner.

Website analytics: we use privacy-focused analytics to see which pages are used and how the site performs, described in the cookies section below.

Payment data: if you buy a subscription or a one-off product, payment itself is handled by a licensed external payment provider. We do not store full card numbers.

Legal basis

We process contact and lead data based on your consent (when you submit a form) or to take steps before entering into a contract with you (article 6(1)(b) GDPR).

We process customer and account data to perform the contract we have with you (article 6(1)(b)).

We process analytics and marketing cookies only with your consent (article 6(1)(a)), which you can withdraw at any time, see the cookies section below.

We may process limited data based on our legitimate interest (article 6(1)(f)), for example spam filtering on forms.

Cookies and similar technologies

We use a consent banner that blocks non-essential cookies until you accept. Essential cookies (needed to run the site) are always active. Analytics cookies (Google Analytics, Rybbit) and marketing cookies (Meta Pixel) only load after you click Accept, and stop once you withdraw consent.

You can change your choice at any time by clearing your browser’s site data for teammade.ai, which resets the banner.

Who we share data with

Our customer platform (CRM, conversations, calendar, automations): the technology provider behind the platform, acting as our data processor under a data processing agreement. We do not name every sub-processor here for competitive reasons, but you can request the current list by emailing info@teammade.ai.

Google (Google Analytics 4): aggregated, IP-anonymised website statistics.

Meta (Meta Pixel): only after marketing consent, to measure the performance of our own ad campaigns.

Our payment provider: to process one-off and subscription payments.

We never sell personal data to third parties.

International transfers

Some providers above (Google, Meta) may process data outside the EEA, in particular the US. Where that happens, we rely on the provider’s Standard Contractual Clauses or another valid transfer mechanism under GDPR.

How long we keep data

Contact and lead data: up to 24 months after your last contact with us, unless you ask us to delete it sooner.

Customer and account data: for the duration of your subscription plus the period required by Belgian accounting and tax law (in principle 7 years for invoices).

Analytics data: according to the retention settings of the respective tool, generally 14 months for Google Analytics.

Security

We use standard technical and organisational measures (encrypted connections, access control, regular updates) to protect your data against loss, misuse or unauthorised access.

Your rights

Under GDPR you have the right to access, correct, delete, restrict or port your data, and to object to processing based on legitimate interest or direct marketing. To exercise any of these rights, mail info@teammade.ai; we reply within 30 days.

You always have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit, gegevensbeschermingsautoriteit.be).

Changes to this policy

We may update this policy as our services or the law change. The version on this page is always the current one; the date above reflects the last material change.
